Life Itself is seeking a Life & Studio Steward to support the day-to-day coordination of projects, communications, and practical life logistics across Life Itself and the working lives of the co-leads.
This is a context-rich, adaptive role focused on reducing cognitive load, maintaining momentum, and ensuring that both organizational and personal systems run with clarity, care, and reliability. You will work across project coordination, communications, light operations and finance, and life administration; acting as a trusted steward of flow rather than a traditional assistant

Role Purpose
The Life & Studio Steward supports coherence across projects, people, systems, and daily life. You help translate ideas into action, keep commitments visible and moving, and ensure that essential administrative, financial, and logistical foundations are handled quietly and well.
This role blends executive support, project coordination, light operations and finance, and life logistics. It requires discretion, good judgment, and an ability to hold multiple contexts without becoming overwhelmed.
Core Responsibilities
1. Project & Task Coordination
Maintain an overview of active projects across Life Itself and related initiatives.
Track next actions, dependencies, and timelines.
Proactively follow up on open loops, commitments, and decisions.
Help translate ideas, conversations, and intentions into concrete tasks.
Support light project management rhythms (lists, dashboards, reminders).
2. Communications & Inbox Stewardship
Triage and respond to incoming emails and messages with clarity and care.
Ensure collaborators, partners, and external contacts receive timely responses.
Route information appropriately and surface what needs attention.
Draft or refine simple responses, updates, or follow-ups as needed.
3. Scheduling, Travel & Logistics
Manage calendars, meetings, and scheduling across multiple contexts.
Coordinate travel, accommodation, and logistics for events, residencies, or trips.
Prepare agendas, reminders, and practical details so meetings run smoothly.
4. Life Administration & Personal Support
Support personal and family logistics (e.g. childcare or au pair searches, schools, housing, repairs).
Research, coordinate, and follow through on purchases or services (e.g. equipment, vehicles, repairs).
Hold sensitive information with discretion and care.
5. Studio, Collective & Team Support
Support sub-collectives or project teams with coordination, payments, and basic operations.
Act as a connector between people, systems, and processes.
Help ensure that practical needs don’t block creative or strategic work.
6. Automation, Tools & AI Support
Set up or maintain lightweight automations (reminders, workflows, publishing, scheduling).
Use AI tools where helpful to reduce overhead and increase clarity.
Apply human judgment, context, and discernment to everything automated.
Light Operations & Financial Stewardship
In a scaled-down but reliable capacity, this role also supports the administrative backbone of Life Itself and related entities, ensuring financial hygiene, compliance, and continuity.
Payments & Cashflow
Pay contractors, staff, and suppliers on time.
Track invoices, expenses, and incoming bills.
Monitor account balances and prepare simple cashflow overviews.
Liaise with accountants and bookkeepers.
Track deadlines for filings, taxes, and reporting obligations.
Ensure legal and regulatory requirements are met on time.
Systems & Process Reliability
Maintain simple, robust ops and finance systems.
Improve reliability and reduce friction through sensible automation.
